The shape of the problem

Drive stores one file
and shows your client another.

Google documents the Drive preview in a single sentence, and the sentence is enough to plan a delivery around. The Drive preview is “a scaled-down version of the complete file and may, when opened, appear slightly different.” Written about a spreadsheet, that is a footnote. Written about a graded master, it is the entire delivery.

Read it as an inventory rather than a warning. Behind one Drive link there are two things. There is the complete file, which is what you uploaded and what a download hands back. And there is the scaled-down version of it, which is what the browser shows when somebody presses play.

Your client chooses between them, in the first two seconds, without knowing there was a choice. Nothing on the page is labelled. A video has a play button, so people press the play button. The opinion they form, the note they write, the approval they give or withhold, all of it attaches to whichever of the two objects they happened to open.

Drive is not doing anything wrong here. A preview exists so you can see roughly what a file is before committing to downloading it, and for the overwhelming majority of what Drive holds that is exactly the right design. It is the wrong design for exactly one job: the moment a finished film is the thing being judged.

Note what this page is not going to tell you. Google does not publish a preview resolution for video, does not publish a processing time, and does not publish any statement that Drive re-encodes what you uploaded. Numbers for all three circulate widely and none of them comes from Google. The one published sentence is the one quoted above, and it is already enough to make the decision.

What actually happens

The route every client takes,
and the one nobody takes.

The failure is not dramatic. It is four ordinary steps, each of which is fine on its own, and the problem only exists at the end of them.

You export the master

A high-bitrate finish, colour managed, checked on a calibrated display. At this point the file is correct and everybody involved agrees on what it looks like.

You upload it to Drive

This part works. Drive takes files up to 5 TB, and a user can upload and copy 750 GB within 24 hours, so size is genuinely not the obstacle people expect it to be.

Your client opens the link and presses play

They are now watching what Google describes as a scaled-down version of the complete file. Nothing warned them. Nothing on screen distinguishes this from the export you made.

Somebody has to say download it first

That sentence is the real cost of using a file store as a review tool. It arrives after the note, not before it, and it asks a client to do extra work to see the thing you already sent them.

The tell that you have this problem

A client describes something you cannot reproduce and you cannot see on your own copy. Before re-exporting anything, ask one question: did you press play in the browser, or download the file and open it in a player. On a Drive link those are two different objects, and the answer usually ends the thread.

What changes

The file your client plays
is the file you exported.

The mechanism is small to describe. There is no encode step at upload and none at playback. The browser cuts the file into parts, the parts are stored, and the player is handed that same stored object. There is no second version of your film, so there is nothing for a client to accidentally judge instead.

That removes the whole class of conversation this page is about. A note about the grade is a note about the grade. A note about a compression artefact is about the artefact you shipped. Nobody has to be told to download the file first, because the download and the stream return the same bytes.

The honest caveats sit on the viewer’s side rather than ours. Browser playback is H.264, HEVC and AV1: those are what browsers decode. ProRes 422, ProRes 4444 and DNxHR are hosted for client download rather than streamed. The macOS app plays R3D, BRAW and N-RAW natively, under agreements with RED, Blackmagic Design and Nikon, but none of those three streams and none plays in a browser. For ARRIRAW, X-OCN and ProRes RAW the workflow is the one every studio already runs: finish to HEVC or ProRes, stream the HEVC, keep the mastering file behind the download. 8K plays when the viewer’s hardware decodes it.

One more caveat, because it is the question a colourist asks. A 10-bit 4:2:2 file is stored and served untouched, since we never re-encode. Whether a given browser decodes 10-bit 4:2:2 HEVC in a video element is not documented by any vendor, in either direction, so we do not claim it plays and we do not claim it fails. The safe delivery is a browser-friendly viewing export on the page with the mastering file behind the download switch.

The commercial shape is different too. Plans have storage, seat and caption allowances; streaming has no extra charge. Views, viewers and uploads are never counted, on any plan including the free one, so a client who plays a two-hour master a dozen times over a weekend costs exactly what a client who never opens it costs. And files are never sold or used to train AI, which is a clause in the Terms with a 30-day notice rule rather than a policy page that can be quietly rewritten.

Drive is often the right answer,
and you should keep using it.

Stay on Drive if this is the job

A one-off handoff to a client who already lives in Google is Drive’s home ground, and moving it costs you something for nothing. The storage is already paid for inside the business, every person in the approval chain has an account, the folder is where the contract and the invoice already are, and the file goes up to 5 TB. If you send a cut a few times a year and the client downloads it, there is no problem here to solve.

The second reason to stay is duller and stronger. A second tool is another login, another invoice, another convention a freelancer has to learn, and one more place someone can look for the current version and not find it. That friction is real and it is a legitimate reason to decline every alternative, including this one.

The case for moving the watch step is narrow on purpose. It is strong when finished films are a regular output, when clients watch rather than collect, and when a picture judgement is being made from what is on screen. A grade approval, a compression check, a festival screener, a shot the colourist reworked and wants seen. In those moments the difference between the complete file and a scaled-down version of it is the difference between approval and an argument about your work.

Keep Drive for

Folders rather than films. Project files, stills, stems, contracts, a graphics package, anything a client archives rather than watches. Drive holds it, the team already knows it, and no preview quality question ever arises.

Keep Drive for

A business already standardised on Google Workspace, where storage per user is included by edition and the administrator has already made the decisions. Adding a video host for one file a quarter is friction, not a fix.

Move the watch step for

The finished film. The cut a client sits down to watch end to end, the master a distributor pulls, the screener a programmer sees once. Anywhere the opinion formed on screen is the opinion that counts.

Why do people email a Drive link instead of the file?

Because Gmail does it for them. The personal-account attachment limit is 25 MB, and Gmail states that if the total attachment size is greater than the limit it automatically removes the attachment and adds it as a Google Drive link in the email. A work or school administrator can set a different limit. Any deliverable worth sending was never going to be an email attachment, so the link is the sane outcome. The question is only what the link plays.
