Separate the team from its reviewers
Editors and producers who manage a library have different responsibilities from colleagues who only review a campaign. Start with a role worksheet. A department mailing list is not a useful substitute for deciding who can upload, change access or approve a cut.
In uncompressed.io, external reviewers do not need a paid internal seat. Plan storage and additional internal seats are separate considerations. Use the maintained pricing page for allowances rather than assuming every collaborator is free.
Assign an owner to each handoff
Library owner: maintains account and access Campaign producer: identifies the approver and delivery scope Editor: uploads revisions and records applied requests Reviewer: checks the named cut and explains requested changes Approver: confirms the version and aspect ratio to deliver Backup contact: takes over when the producer is absent
This is an organizational worksheet, not a list of automatically enforced product roles. Confirm the permissions available in your actual account before assigning administrative duties.
Budget for retained work
Count active originals, alternative playback copies and versions that need to remain available. Keep a retention decision for completed projects. The relevant question is not only how much the team uploads this month, but what must still be retrievable next quarter.
A review copy is not a replacement for the accepted master. Conversely, keeping every intermediate export indefinitely may not match the team’s retention policy. Record the accepted version and project handover before removing work you no longer need.
Test continuity before rolling out
Choose a campaign with several stakeholders and run a complete revision round. Have the backup contact locate the accepted cut and unresolved requests without asking the editor for an explanation.
Check the recipient view separately from the creator view. Confirm which source is playing and which aspect ratio is being approved. Do not promise a branded custom domain, enterprise identity integration or automatic procurement approval unless your chosen product and plan explicitly provide it.
Keep the current system when its administrative requirements are essential. Adopt a new hosting workflow when the pilot demonstrates a clearer handoff, not merely a more attractive library.
